An event planner coordinates the whole event: venue, suppliers, schedule and budget. Production companies handle staging, sets and technical crews for live events, and AV companies supply sound, lighting and screens, and the people to run them.

Book early for busy seasons, and agree on the scope, the schedule, cancellation terms and what happens if the event changes size. Ask for examples of events of a similar size and style, and whether suppliers carry liability insurance. Check what a venue already includes before you hire AV separately. Confirm access times with the venue, who is responsible for power, rigging and accessibility on the day, and who makes decisions if something changes while the event is running.
